Folder synchronization for e-mails and files in the archive - save time and money!

ARTEC's patented EMA® feature Folder Synchronization is very popular among users. It allows users to use the familiar folder structure of the e-mail inbox in EMA as well. This creates a second intuitive search option in addition to the full text search. Users can easily find content in their own familiar sorting structure. Access to EMA is uncomplicated and takes place directly in the interface of the e-mail program used.

Work quickly and efficiently in the personal folder structure - also in the document archive

The filing of files in companies often does not follow any universally policies. Archiving varies greatly from one individual to another. EMA can adopt the folder structure of file servers and map it 1:1 in the document archive. Here the module File to Archive® is used.

It is a great advantage for users to find existing organizational structures "identical in construction" in the archive as well. This way, work is done quickly and efficiently. The company saves time and money.

Efficient workflows not only save time, but also ensure reliability and legal certainty

Another exciting feature is the ability to trigger workflows in EMA via defined inbound folders. For this purpose, attributes can be assigned to documents when they are stored in defined folders. These define what happens to the documents next - for example, submission to selected people.

In this way, paper documents received by the company are further distributed and processed in a meaningful way, for example when invoices are received. Workflows can be implemented reliably, legally compliant and DSGVO-compliant.

On the EMA side, this requires the Enterprise Attribute Editor and Department Archives and AD Groups features.

EMA also offers the possibility to implement a 4-eyes principle. In this way, customized rights concepts can be ideally adhered to.
